What to take away

How the shortlist was assembled

Asana
Asana groups work around projects and tasks. Its official feature overview adds views, workflow tools, reporting and administrative controls.
That range makes it a candidate where several teams need one route from request to completion. Ask a user to find ownership and supporting context without leaving the task. Then ask an administrator to show permission boundaries and produce an export. Do not treat a feature category as proof until the proposed configuration has been observed.
Microsoft Planner
Planner can earn a place when the organisation already works in the Microsoft environment. Microsoft's Planner support page describes grid, board, chart and calendar views, plus task assignment and filtering.
Establish which licence and interface the supplier proposes. Ask how guest access works, where files sit and what happens when an employee leaves. Product naming and entitlements change, so attach the dated first-party record used for the decision.
monday.com work management
monday.com's getting-started guide explains a hierarchy of boards, groups, items and columns. It also lists views, dashboards, automations and integrations. That flexible structure can model varied workflows, but flexibility moves design work to the customer. Test an awkward case rather than admiring a polished demonstration board. For example, return a request for correction, restrict a sensitive column and identify who receives a failed-automation alert. Count the ongoing administrator effort needed to keep templates and permissions coherent.
Trello
Trello's official product guide centres on boards, lists and cards. That visible arrangement suits a contained flow where items move through recognisable stages.
A board-shaped interface is not evidence that a complex approval, portfolio report or data-control requirement will fit. Build the smallest representative board, include an awkward case and examine archive and export behaviour. If extra capabilities depend on a particular plan or add-on, record that dependency.
Pricing orientation and where to check it
Plan names, inclusions and prices move. Asana, Microsoft Planner, monday.com and Trello each publish their own pricing pages. Take plan tiers, seat minimums and billing terms from those pages on the day you compare. Record the date checked beside each figure.
For Planner, the licence question can be broader than a standalone plan. Planner appears in Microsoft 365 plans, while some premium features may need a separate add-on. Ask the supplier to map each named capability to the licence you would actually hold.
Treat any price without a checked date as unusable in a comparison.
