Where a lightweight CRM stops being enough
Add a subcontractor or a second trading name and the single-user plan starts to strain. Capsule's free plan covers two users. Zoho's free tier stops at three users. HubSpot's free tier can hide upgrade prompts.
Data protection shifts too. Once you hold client data for marketing as well as delivery, you need a lawful basis and a retention rule, not just a tidy list.
Watch the change points rather than the feature list. Two people needing the same record, a client asking for a data export, or an accountant wanting a monthly file all mean you have outgrown the lightest tier.
Common questions
Is a spreadsheet enough as a CRM for a sole trader?
For a handful of repeat clients, yes. Google Sheets or Microsoft Excel with a follow-up column covers the basics. Move on when you lose track of who was last contacted.
Do I need VAT fields if I am not VAT registered?
No. Below the £90,000 threshold, VAT fields add noise. Pick a tool such as Capsule or Zoho that can switch them on later rather than paying for them now.
Can one tool handle both CRM and accounting?
