UK integrations that decide the choice

Xero publishes an open API, and Zapier and Make both carry Xero apps. Zapier's Xero app creates contacts and raises sales invoices; Make's Xero app includes Watch Invoices and Create an Invoice. Both inherit Xero's own API cap of 5,000 calls a day and 60 a minute per tenant, which a month-end bulk sync can reach.

Sage takes a different route. Zapier lists Sage Accounting, and Make lists Sage Business Cloud Accounting. Both stop at contacts and sales invoices rather than a full ledger export, so test the exact ledger action you need before you commit.

n8n has no Sage node of its own, so you call the Sage API with the HTTP Request node. Xero arrives in n8n through a community node or the API.

For statutory steps, aim at the public service: HMRC's Making Tax Digital service accepts a VAT return only from compatible software. Companies House sets out its own filing services, and many templates wrap those services rather than add new capability. Check whether the connector is first-party or community-maintained before a month-end run relies on it.

Vendors price seats, then price the work separately. A three-step invoice workflow can consume several units per invoice, so a tier sized on 500 units may not survive a busy month.

Worked example: a 300-invoice month. Each invoice runs through one trigger and three actions. A new Xero invoice starts it, Sage Accounting creates the sales invoice, a Google Sheets row is added, and Slack posts to the accounts channel.

In Make the modules run 1,200 times, so the month uses about 1,200 operations. That fits a typical entry tier of 10,000 operations, so the bill stays in the entry band of roughly £8 to £12.

In Zapier the trigger is free and the actions are billed, so the month uses about 900 tasks, nine times the free allowance. The entry paid tier is the floor, typically £15 to £25 a month.

In n8n the unit is the whole run, so the month uses 300 executions, inside the free community edition if you host it yourself.

Retries and error paths consume quota too. A step that fails quietly and repeats is the most expensive line on the bill.

Support hours shape the cost as well. A vendor that answers only in US time zones costs you part of a working day whenever a sync breaks.
